Ascension Magazine Launch Party – Terms and Conditions
Effective Date: Friday, Dec 20, 2024 – Saturday, January 25, 2025
These Terms and Conditions (“Agreement”) govern the attendance, participation, and involvement of guests, vendors, and sponsors at the Ascension Magazine Launch Party (“Event”) organized by Ascension Media House (“Event Organizer”). By attending, purchasing tickets, or participating in the Event, you agree to abide by these Terms and Conditions.
1. General Provisions
1.1 Acceptance: By attending, purchasing tickets, or engaging as a vendor or sponsor, you agree to comply with these Terms and Conditions and any additional instructions or guidelines provided by the Event Organizer.
1.2 Event Modifications: The Event Organizer reserves the right to modify, postpone, or cancel the Event due to unforeseen circumstances, including but not limited to acts of nature, government restrictions, or technical issues. In such cases, tickets may be refunded or rescheduled, at the discretion of the Event Organizer.
2. Guest Attendance Terms
2.1 Ticketing and Entry:
Tickets are non-transferable and must be purchased through authorized platforms or channels.
Guests must present valid ticket information (e.g., QR code, email confirmation) for entry.
Event tickets do not guarantee seating or entry to VIP-only areas unless explicitly stated.
2.2 Behavior and Conduct:
Attendees are expected to behave in a professional and respectful manner. The Event Organizer reserves the right to remove any attendee who engages in disruptive, inappropriate, or unsafe behavior, without a refund.
Guests are prohibited from engaging in any illegal activities or behavior that could harm the reputation of Ascension Media House or the Event.
2.3 Photography and Videography:
By attending the Event, you consent to being photographed, filmed, or recorded for promotional or marketing purposes by the Event Organizer.
Any images, video footage, or recordings captured at the Event may be used in future marketing campaigns, social media content, and publications. If you do not wish to be included, please inform the Event Organizer in advance.
2.4 Health and Safety:
The Event Organizer is committed to providing a safe and welcoming environment. All attendees must adhere to local health and safety guidelines, including but not limited to COVID-19 protocols (if applicable).
If you experience any symptoms or have health concerns, please refrain from attending the Event and notify the Event Organizer for potential ticket transfer or refund.
3. Vendor Participation Terms
3.1 Application and Approval:
All vendors must submit a formal application to the Event Organizer for approval. Vendors are selected based on the relevance of their products or services to the Event’s target audience.
Once approved, vendors are required to pay the applicable fee, which covers booth space, utilities (if applicable), and any additional event-related services.
3.2 Vendor Setup and Breakdown:
Vendors must adhere to specified setup and breakdown times as outlined by the Event Organizer. Early setup and late breakdown may be subject to additional fees.
Vendors must ensure their booths are staffed during official event hours. Any booth left unattended or without proper staffing may result in penalties or removal from the Event.
3.3 Liability and Insurance:
Vendors are responsible for providing their own insurance, including liability insurance, for their booth and products. The Event Organizer will not be held responsible for any damage, theft, or loss of vendor property.
Vendors must comply with all local and state regulations concerning their products, services, and operations.
3.4 Conduct and Space Use:
Vendors agree to maintain a professional and courteous demeanor at all times. Offensive behavior or inappropriate marketing tactics will not be tolerated.
The Event Organizer reserves the right to terminate any vendor’s participation if their activities disrupt the Event or violate these Terms and Conditions.
4. Sponsor Participation Terms
4.1 Sponsorship Agreement:
All sponsorship opportunities must be formalized through a written agreement, including a detailed description of the sponsor’s involvement, branding placement, and associated benefits.
Sponsors must ensure their sponsorship contributions (financial or in-kind) are received by the Event Organizer by the specified deadlines.
4.2 Branding and Promotional Materials:
Sponsors are permitted to use the Event’s name, logo, and branding assets solely in connection with their sponsorship agreement. Any unauthorized use of Event branding is prohibited.
All promotional materials provided by sponsors must be pre-approved by the Event Organizer to ensure compliance with Event standards and policies.
4.3 Sponsor Obligations and Engagement:
Sponsors must comply with the Event schedule, booth placement, and any other arrangements specified by the Event Organizer. Sponsors are encouraged to actively engage with attendees during the Event and utilize their booth or activation space effectively.
The Event Organizer is not responsible for any direct sales or engagement results from sponsorship participation.
4.4 Liability and Indemnification:
Sponsors agree to indemnify and hold the Event Organizer harmless against any claims, damages, or liabilities arising from their products, services, or actions during the Event.
Sponsors are solely responsible for ensuring they carry adequate insurance coverage for their participation in the Event.
5. Payment Terms and Refund Policy
5.1 Ticket Purchases:
All ticket purchases are final and non-refundable. Tickets may not be exchanged for other ticket types or transferred to other individuals unless authorized by the Event Organizer.
5.2 Vendor and Sponsor Payments:
Vendor and sponsor payments must be made according to the schedule outlined in the formal agreement. Failure to make timely payments may result in the cancellation of participation.
If the Event is rescheduled or canceled by the Event Organizer, vendors and sponsors may be eligible for a full or partial refund at the discretion of the Event Organizer.
6. Force Majeure
6.1 Unforeseen Circumstances:
The Event Organizer shall not be held liable for any delay, cancellation, or disruption of the Event caused by events beyond its control, including but not limited to natural disasters, government regulations, acts of war, terrorism, or any other cause beyond reasonable control.
7. Miscellaneous
7.1 Governing Law:
This Agreement shall be governed by and construed in accordance with the laws of the state of Texas.
7.2 Severability:
If any provision of these Terms and Conditions is found to be invalid or unenforceable, the remaining provisions shall remain in full force and effect.
7.3 Entire Agreement:
These Terms and Conditions constitute the entire agreement between the parties with respect to the Event and supersede all prior agreements or understandings, whether written or oral.
By attending, purchasing tickets, or participating as a vendor or sponsor, you acknowledge and agree to these Terms and Conditions.
